• Two Stage Verification

    I use one of my email addresses (hosted with Heart Internet) for two stage verification but in the last couple of weeks the email with the code
    hasn't arrived so I can't log on even with several attempts.

    If it's a new organisation I can switch to a different email (hosted by
    Mythic Beasts) and it works immediately but obviously I can't do this with existing accounts.

    I have had problems with Heart in the past, they had a spat with Yahoo
    which meant all email to a Yahoo email address from a Heart hosted address
    was bounced as spam. When I took it up with them they just wrung their
    hands and said there was nothing they could do.

    Is it possible their system is set up to not send 2SV emails? I've raised
    a ticket but suspect I need to move away from them as their service is so
    bad nowadays.

    How would that help? SPF and DKIM are about sending mail, the problem
    here seems to be about receiving mail.

    It is my own to the extent I paid for it and renew it regularly but Heart
    host it because I have no idea what SPF and/or DKIM records are!

    In principle Heart could look at their mail server’s logs to see if the emails are arriving and if so figure out why they are being rejected.
    But it sounds like you’d be better off moving to a mail provider who can receive email.

    they have - and their prices are good!

    Is the email not arriving at all, or not in a timely manner so you can
    complete the login?

    Sometimes ISPs' ideas of spam filtering involve attempting to throttle
    spammers by delaying mail, but this makes 2FA mails useless. It may be something that can be adjusted if they have any spam filtering knobs you can tweak in their control panel.

    It happens. If a big company like Microsoft is in the wrong, there's not
    much a small ISP can do. Although correctly setting up your SPF/DKIM will
    help a lot here

    have my own domain name and the mail gets forwarded, and I do not have the means to add SPF records to it.

    I would move this account to Mythic Beasts, except that other email addresses

    You could set up mail with MB but forward to PN's mailbox. That way you'd
    get the benefit of PN's spam filtering, although you'd still be using MB's greylisting (so PN's filter doesn't get the chance to reject mail at
    source, it can only move it to the spam folder)

    ie:

    Receive:
    Sender -> MB -> forward -> PN -> IMAP to your client

    Send:
    SMTP from your client -> MB -> Recipient

    You'd set up your client with:
    IMAP server = imap.plus.net (or whatever)
    SMTP server = smtp-auth.mythic-beasts.com

    and set up MX and SPF/DKIM on yourdomain.com with the MB defaults. (ie allowing *.mythic-beasts.com be your approved recipient and sending server)

    The main thing here is you wouldn't be able to send from PN webmail using
    your domain, but I don't think they let you do that anyway.

    Heart finally admitted to email problems that have now been fixed - I
    have made a note in the diary to switch to MB when it's up for renewal.
